Summary of Position:
This position consolidates initiatives involving managing academic records and data reporting, timetabling and scheduling, honors and graduation, student information systems, production of transcripts and Convocation, course registration, grading, quality assurance, and others. The Assistant Registrar is also to provide the secretariat services for the University Academic Council and in formulating, developing, implementing, and monitoring the compliance of academic policies and processes. The incumbent is also responsible for student experience on the UCA campus providing high-quality, student-centered professional support services to meet their pastoral needs.
The Assistant Registrar will share some functions with the fellow Assistant Registrar and SAP Consultant, as well as would work the relevant IT team to implement the data processing and management in special campus solutions design software, first for the undergraduate programme and eventually for the graduate programmes and UCA’s School of Professional and Continuing Education.
Main Duties and Responsibilities:
Registrarial functions
- Maintain student records including enrolment, grades, and transcripts, using SAP SLcM
- Compile, maintain, and track academic information and records for students in UCA’s programmes.
- Publish the university academic calendar, load courses into the student academic system, and manage course inventory.
- Manage systems that support scheduling of classrooms, meeting rooms, and discussion spaces as well as the scheduling of courses, mid-terms, and final exams.
- Present student performance reports to the Registrar and respective Deans.
- Maintain student attendance records and report any issues to the Academic Head for appropriate action.
- Prepare verification of attendance/graduation and confirmation of enrolment letters for students as requested.
- Maintain a database to track potential applicants to UCA including data on student applications, testing, and admission for the University’s undergraduate and eventually graduate programmes.
- Develop reports on student progression, withdrawals, Dean’s List, and transcript requests.
- Coordinate the convocation ceremony.
- Maintain a database that will enable the University to track its alumni. Working closely with the Senior Manager, Alumni Affairs, enhance the University’s relationship with its Central Asian alumni and organize alumni-related events.
Quality Assurance and accreditation-related duties
- Retain individual student portfolios of assessed work for quality assurance purposes.
- Support the respective Deans and the Academic Heads to implement University policies and regulations.
- Undertake any other duties related to the University’s accreditation in Central Asia and abroad.
Student Orientation
- Work with the Head of Student Recruitment to plan and coordinate orientation activities for first-year students.
- Ensure that students are informed of the University’s Academic Policies.
External Relations
- Prepare and submit required documents and reports to the Ministries of Education of the Founding States. This includes but is not limited to annual rules for UCA admission, annual plans for UCA admission, and annual Orders of Admission. Minimum honors degree.
- Work with the Ministries of Education of the Founding States to process equivalencies of foreign high school credentials for international students.

- Perform other tasks as assigned by Registrar
Required Qualifications and Experience:
Experience
- Work experience in higher education
- Knowledge of educational licensing requirements in the Founding States,
- Experience managing academic related issues
- Experience building and managing complex schedules
- Experience with financial aid processes at the university level
Skills
- Ability to gather data, compile information, and prepare reports
- Strong interpersonal, communication, and negotiation skills
- Excellent oral and written communication skills
- Strong operational and logistics management skills
- Ability to work under pressure
- Ability to work effectively with diverse teams

- Strong computer skills including SAP, Microsoft Word, Excel, and PowerPoint
- Ability to design and maintain tracking of data related to the registrarial functions
Language
- Advanced English and Russian. Knowledge of Kyrgyz is an asset
